Divide the list by where each item will be used
List guest tables, ceremony aisle, stage, entrance and spares separately. This prevents high candelabras from being mixed with lower candle holders or cylinders intended for another zone.
For every model, add quantity, preferred finish, relevant dimensions and a reference image. Approving a visual or sample reference is more reliable than relying on a broad colour name alone.
Confirm lead time, packing and delivery responsibility
Share the delivery city, target date, venue access date and any installation expectation at quotation stage. Production time and transit time are separate parts of the schedule.
Glass and metal in one order may need different protection. Carton count, freight method, tax or customs responsibility and the arrival inspection process should be written into the order terms.
