Reservation details and delivery planning
The first brief should include the event date, venue, table plan, selected model, finish and quantity. Stock is checked against that exact combination before the rental is confirmed.
Delivery planning also covers the loading entrance, parking or security procedures, lift access and the time window allowed by the venue. A named on-site contact helps the team resolve access questions without delaying setup.
Setup order, placement and safety checks
When florists, planners and catering teams share the room, agree the installation order in advance. Candelabras should be positioned before surrounding flowers and place settings make the centre of the table difficult to reach.
During setup, each piece is checked for stability, alignment and compatibility with the planned candles. Venue rules for open flames, clear escape routes and distance from fabrics or foliage must remain part of the final layout.
Handover and collection after the event
Before handover, confirm the installed quantity and any operating notes with the designated venue or planning contact. Changes to event timings should be shared promptly because they may affect the collection window.
Collection is arranged around the venue's closing plan. The team counts the pieces, checks detachable components and packs them for transport; agreeing these steps in advance keeps the room clear-down efficient.
