Prepare the reference list before arrival

Keep the latest confirmed order, any supplied packing list and product links together. Each line should identify model, size, finish and ordering unit. Check against the mutually confirmed version rather than an earlier quotation draft, and flag any lines that changed during the discussion.

Agree internally who will receive the delivery and where it will be checked. Prepare an orderly, dry inspection area. This internal arrangement does not replace notification requirements set by the seller or carrier; check the applicable order and transport documents separately.

Record cartons without treating them as product units

First record the arriving packages using their visible markings. One carton can contain several products or separate components of one product, so do not derive unit quantity directly from box count. Where packing information was supplied, match each box to its order lines and leave uncertain matches open for clarification.

Give counted, unopened and clarification-pending cartons different statuses. A simple mark helps avoid two people counting the same box twice. Do not allocate loose components to different models until package contents and any assembly information have been confirmed.

Check sets, sizes and components separately

For a three-piece set, distinguish one ordered set from three independently sold units, then verify the pieces within it. Count the chosen heights of a 10 cm diameter cylinder on separate lines. Review candelabra components against the confirmed model information rather than assuming parts are interchangeable across models.

Check the visible condition of glass and coated metal in suitable light, following the relevant care and handling information. Keep visibly cracked or damaged pieces out of use. Recording quantity and condition separately keeps a fully counted line with an unresolved condition question visible.

Share one clear record of anything unresolved

Combine model link, order line, carton marking, expected quantity, counted quantity and relevant photographs. Include an overview and a useful detail rather than an unexplained close-up. Avoid unrelated personal information while making it clear which product was found in which package.

Share the point needing review with Glassy without assuming that replacement, additional dispatch or another remedy is already agreed. Confirm the notification timing and next steps under the current order terms. Update the internal record when resolved, keeping unchecked products separate from stock marked ready for sale.
